Privacy Notice – City of Glasgow College Library Services

Background

This Privacy Notice explain how and why City of Glasgow College’s (“the College”) Library Service will collect and use your personal data when we provide you with support during your attendance at the College.

Personal data we process about you

We will process your personal data including your names and email address where it is necessary for us to provide you with library services and to access library resources and equipment. 

How we use your personal data

Your personal data will always be used in accordance with the terms of the Data Protection Act 2018 and the UK General Data Protection Regulation. We may process your personal data for the purposes of: 
•    Providing effective library services and Providing access to library resources and equipment, including the College archive
•    Responding to your queries made to the library 
•    To contact you, where necessary in relation to resources and equipment you have borrowed from the library  

We process your personal data for the purposes of our public task and where we have a legitimate interest to do so.

Sharing your personal data

The College relies on third party service providers to provide systems and applications to support our operations. For the Library, this includes the Library Management System and other subscription services available to students. The College has contracts in place with all third parties that may access your personal data when providing services to the College and these contracts include robust data protection requirements. Some of these third parties that the College engages may require create an account to access an application or system. Where you sign up to create an account those service providers may process your personal data for their own purposes and you should check their privacy policies for further information.

Storing your personal data

We retain information relating to your complaint, including your personal data, for up to 7-years after you leave the College and in some cases longer, where the law requires or allows us to do so, for example, where we are a party to a legal dispute.
